Contextualisation adapts a resource to your RTO's student cohort, industry setting and delivery approach. Plan the change, check its effect on training and assessment and keep a controlled record.
Define the purpose
Write down what the change is intended to improve. A change could make instructions clearer, add a useful local example, reflect current industry language, improve accessibility, align a scenario with the intended workplace or support the way evidence will be collected.
The purpose does not need to begin with a problem. It should explain the benefit for the cohort or delivery context and show how the revised material continues to address the training product requirements.
Adjustments an RTO might make

Depending on its Edify access and permissions, an RTO may contextualise:
- learning content
- knowledge questions
- practical assessments
- assessor benchmarks
- mapping
- supporting information
- downloadable files
- print outputs
Edify uses permission-based access. Organisation administrators, compliance reviewers and learning designers may be given the permissions needed to work with product data and resource content.
Check what the change affects
Learning enhancements could include replacing an organisation name, adding a local example or providing extra explanation. Assessment changes need closer review because wording, conditions and evidence requirements affect what the learner demonstrates.
Before changing an assessment tool, check:
- unit elements and performance criteria
- knowledge and performance evidence
- assessment conditions
- principles of assessment and rules of evidence
- mapping, benchmarks and observation criteria
- reasonable adjustment requirements
Keep assessor and learner content aligned
When learner instructions change, review the assessor guidance, benchmark, checklist, evidence tool, mapping and any third-party instructions that refer to the same task.
Version the related files together. A changed learner workbook paired with an old marking guide creates avoidable confusion.
Test the implemented version
Review the contextualised content in Catapult LMS and open every affected download. Check links, headings, instructions, submissions and access settings. Review affected print outputs separately.
Ask a trainer or assessor who did not make the edit to follow the task. Their questions often show where local knowledge has been assumed.
Protect current learners during the transition
Do not introduce a change in a way that disadvantages learners already using the resource. Start the revised version from a controlled transition point approved by your RTO.

Approve and record the change
Keep:
- the original Catapult resource
- the contextualised version
- a change record and approval
- updated mapping or review notes
- the release date and owner
- a trigger for review when the source package or training product changes
