Using Bulk Import Actions to update enrolments

The "Bulk Import Actions" feature described in this article is optional and not enabled by default. If you'd like to have it enabled in your system, please send an email to support@catapult-elearning.com!

The Bulk Import Actions menu option (under Administration) allows Admin users to use .csv files to update a large number of enrolments at once, instead of one-by-one inside the Admin portal. There are three types of actions that can be utilised in bulk via this feature;

  1. Deleting enrolments in bulk
  2. Archiving enrolments in bulk
  3. Updating trainer associations in bulk

As a general rule, we recommend downloading a CSV file from Catapult for the enrolments you want to update, rather than creating a CSV from scratch. For example, if I wanted to delete all of the below enrolments in bulk, I can use the csv button in the bottom-right corner of the screen to download a CSV listing these enrolments...

.. noting that you will need to enable the Username field. This CSV will then be emailed to you, and you can reupload it right back into the Bulk Import Actions > Delete interface.

Using Bulk Archive is also very similar - download a CSV of the enrolments you want to archive, then upload it back into the system via Bulk Import Actions > Archive.

Updating trainer associations in bulk

Updating trainer/enrolment associations is a little bit more complex - and dangerous. It is very important to note that there is no "undo" button for this feature; once you have made changes to trainer/enrolment associations, there is no way to roll back to what the previous associations were (other than doing so manually).

Using this feature, you can effectively change all of the assigned trainers for any number of enrolments using one CSV upload.

To look at an example, we're going to use the enrolments shown in the screenshot above, and change them over to a couple of different trainers. To start, download the CSV file, being sure that the Username, Unit and Assigned staff usernames fields are enabled on the download prompt;

Clicking the Download button will result in an email being sent to you with the requested CSV attached - note that this can sometimes take up to a minute to be received.

Once you have downloaded the CSV, you'll want to make a couple of changes;

  1. First, edit the Assigned staff usernames column by inserting the username of the trainer you want to be assigned. If you want to assign multiple trainers, separate their usernames by a single whitespace character (i.e. one space-bar press).
  2. Add an entirely new column, named "TRUE", and put a single lowercase t in each row.

Save your edits to the CSV and return to the Catapult LMS. Navigate to Administration > Bulk Import Actions and select the Update Trainer option. Upload your edited CSV into the "Choose File" dialog, and then click Save.

On the next page, you'll need to map some system fields to the data columns of your spreadsheet. Assuming that you're using a downloaded CSV and have followed this example, it will look like this;

The system will take a minute or so to make these changes, after which you will receive an email to let you know of the results...

... and, if successful, you will note that the trainer associations inside your Catapult LMS will have been updated!
