Protect assessor resources and configure learner access

Keep answers, benchmarks and marking tools available to authorised staff only. Test access with a learner account before the unit opens.

This check is especially important when the package contains downloaded assessor solutions or completed workbooks alongside learner files.

Access by LMS role

Catapult LMS has three client roles:

  • Admin: organisation administrator, LMS administrator, compliance reviewer or learning designer
  • Trainer: trainer or assessor
  • Learner: learner or student

Admins and Trainers can access trainer-only sections, view submissions and download assessor files. Learners cannot access trainer-only sections. Model answers, benchmarks and other controlled assessor material must only be available to Admins and Trainers.

Identify controlled content

Mark these items as assessor-only where they are supplied:

  • model answers and benchmark responses
  • completed or solution workbooks
  • marking guides and assessor checklists
  • observation decisions and sample evidence
  • trainer versions containing expected results
  • mapping notes that disclose answers

Do not decide from the filename alone. Open the file and check the content.

Pair the files

Create a simple file register showing the learner file, its assessor companion and the assessment it supports. FNS workbooks might have similar names even when one contains solutions. Practical assessment packages might contain instructions for learners, assessors and third parties in the same document set.

Test permissions

Use a test learner account to check the home page, learning topics, assessment sections and downloads. Search for filenames and follow links in instructions.

Use a Trainer account to confirm authorised staff can open the guidance, view submissions and download assessor files. Record the date and account type used for the test.

Protect downloaded supporting assessor files

Permissions inside Catapult LMS do not protect downloaded supporting assessor files after someone shares them. Store those files in your approved staff location. Avoid placing them in learner folders, shared class drives or email threads with learners.

If an assessor resource is exposed, remove access promptly and follow your RTO's incident process. Decide whether affected assessment tasks or evidence need further action.

Recheck after changes

Repeat the access test when a unit is copied, contextualised, updated or moved between organisations. Check again when new files are added.
