Understand your RTO's responsibilities when using purchased resources

Your RTO remains responsible for the training and assessment it delivers. A purchased resource can provide learning content, assessment tools, evidence documents, benchmarks and mapping. Your RTO decides how those materials will be implemented for the training product, student cohort and delivery context.

Review materials before use

Check that the training and assessment materials match the current training product and address the delivery mode your RTO intends to use. Review the questions, practical tasks, evidence requirements, benchmarks and mapping together.

Record problems and changes. Do not rely on a statement that a resource has been mapped or previously reviewed as the whole of your own pre-use review.

Confirm delivery resources

Make sure learners and staff can access the facilities, equipment, software, workplace arrangements and support needed for the unit. This includes items referenced in downloaded documents as well as requirements shown in Catapult LMS.

For online or blended delivery, test how practical skills will be taught, practised and assessed. A written response might not meet a requirement for performance in a workplace or simulated setting.

Contextualise with control

Contextualisation should make the resource relevant to your cohort and work context while preserving the requirements of the training product. Review the effect of every assessment change before release.

Keep the original package, the approved local version and a record of what changed. Set an owner for future updates.

Responsibility split between supplied resource materials and the RTO's implementation decisions.

Protect assessment integrity

Control access to model answers, assessor benchmarks, completed workbooks and marking guidance. Confirm the identity of the learner and the authenticity of submitted evidence through your RTO's assessment process.

Where a workplace observer or third party contributes evidence, document their role and the information the assessor will use to make the final judgement.

Validate and improve the assessment system

Include the implemented resource in your RTO's validation process. Review the assessment practices and judgements used by your organisation as part of that work.

Use findings, learner feedback, assessor feedback and changes to the training product to decide when the resource needs review.

Keep records

Your records should identify:

  • the unit and resource version used
  • pre-use review and approval decisions
  • contextualisation and local instructions
  • trainer and assessor briefings
  • assessment evidence and judgements retained under your procedures
  • validation findings and resulting changes
